The Client Care Representative answers the telephones, greets and properly routes clients, receives and transmits telephone and other messages, updates client records, prepares invoice and estimates and collects payments and may perform a variety of other related services.
Ensures that appropriate take home instructions are complete and report cards complete to fully educate clients on their pet’s healthcare needs.
Answers telephones and routes calls quickly, efficiently and in a professional and friendly manner, using a multi-line telephone system
Answers clients inquiries regarding appointment scheduling, hospital polices, basic pet care questions.
Greets clients and routes appropriately for appointments, hospital admitting, and boarding admitting. Updates client and pet information as needed, ensures that appropriate releases are signed check in reports are completed.
Maintain appointment scheduling, office visits, dental appointment and surgical appointment with attention to maximize production capabilities.
Update clients and caseloads when necessary and offer appropriate solutions to minimize client wait times. Client wait times over 15 minutes need to be offered solutions, such as drop off, agreement to wait, see another doctor, or reschedule.
Prepares estimated treatment plans in liaison with doctors, technicians and veterinary assistants.
Prepares necessary certificates.
Prepare client invoices and obtains payments after services are performed.
Performs over the counter sales of specialty merchandise, exercising a technical knowledge of products sold
Maintains the appearance of the front office and waiting room.
Performs other duties as assigned.
Participate in staff training and staff meetings.
Education: High School Diploma or equivalent.
1-2 years’ experience with basic office functions in a busy work environment.
Feel and express a genuine liking for animals.
Ability to be a team player.
Excellent communication skills.
Basic computer skills.
Be able to sit or stand for extended periods of time.
Can answer client inquiries about basic pet health care and routine procedures.
Can educate clients on over the counter products such as shampoos and nutraceuticals; has full knowledge of heartworm, internal and external parasite preventatives to promote client education and sales.
Can guide clients in making appropriate decisions regarding optimal pet care.
